TITLE: Program Coordinator - Full-Time, Exempt
REPORTS TO: Chief Program Officer
START DATE: August 10, 2026
HOURS: Monday - Friday (Monday & Friday 9AM - 5PM, Tuesday 1PM - 9PM, Wednesday & Thursday 11AM - 7PM)
Hours are flexible according to rehearsal needs during the academic year. During the summer season, the working schedule is Monday - Friday, 9AM - 5PM.
Attendance at events outside standard hours is required. The office operates on a hybrid schedule, with remote work on Wednesdays and Fridays, and in-office work on Mondays, Tuesdays, and Thursdays. This schedule adjusts to meet business needs.

Children’s Chorus of Washington (CCW), now approaching its 31st season, nurtures artistic excellence and empowers young singers by celebrating our shared humanity and the value of every voice. CCW pursues a vision of a chorus that represents the racial, cultural, and economic diversity of the Greater Washington community, making its outstanding program accessible to children and youth of all backgrounds. Celebrated as the premier youth chorus in the nation’s capital, our 350+ singers, ranging from ages 6 to 18, regularly perform in DC’s most prestigious venues and tour worldwide.
JOB SUMMARY AND RESPONSIBILITIES:
With the expansion of our operations to two rehearsal sites in Washington, DC, and corresponding increases in student numbers, CCW seeks a Program Coordinator to support the needs of our community and ensure the continuity of our artistic programming.
OVERVIEW:
The Program Coordinator plays a key role in ensuring the smooth operation of CCW’s programs by managing singer and family engagement, supporting rehearsals, coordinating resources, and collaborating with the artistic and administrative team. As the first point of contact for families, this role requires strong organizational, communication, and interpersonal skills to cultivate a welcoming and engaged community.
The ideal candidate is highly organized, detail-oriented, and passionate about youth arts education. They should be comfortable managing multiple responsibilities, working in a fast-paced environment, and collaborating with a variety of stakeholders, including singers, families, staff, and venue partners. Occasionally, this role requires transporting program materials between rehearsal and performance venues; candidates must have a reliable personal vehicle or be comfortable using public transit to move items.
PRINCIPAL RESPONSIBILITIES:
Singer & Family Management
Serve as the primary point of contact for singers and families, both in person and via email.
Write and send the weekly bulletin, and any other e-blast communications required.
Track singer attendance and follow up on absences to ensure engagement and retention.
Build and maintain strong relationships with singers and families, fostering a sense of community within CCW.
Book rehearsal venues and maintain chorister calendar
Rehearsal Management
Attend all weekly rehearsals, welcoming singers, managing check-in, and distributing materials
Coordinate with program assistants to ensure sufficient staff coverage for all rehearsals.
Review weekly “Rehearsal Recap” and respond to needs or questions
Communicate regularly with rehearsal venues to confirm bookings and resolve any logistical concerns.
Resource Management
Work with the artistic team to ensure all necessary materials—scores, uniforms, and other supplies—are prepared and distributed.
Administrate all digital resources, including the uploading, management, and archiving of materials to the online music portal each semester.
Maintain the organization of the music library, tracking inventory and ensuring timely collection of materials.
Team Coordination
Collaborate closely with the Artistic Director, Chief Program Officer, and Production Manager to ensure seamless program operations.
Provide administrative and logistical support for development, marketing, and finance teams when programming information is required.
QUALIFICATIONS:
Bachelor’s degree or equivalent experience in arts administration, education, or a related field preferred.
Prior experience in program coordination, youth programs, or arts education is desirable.
Strong organizational, communication, and problem-solving skills.
Ability to work collaboratively and engage effectively with young singers and their families.
Proficiency with Google Suite and comfort using databases or CRM systems.
Flexibility to work evenings for rehearsals and occasional weekends for events.
COMPENSATION AND BENEFITS:
Annual salary: $50,000

Tuesdays at St. Columba’s Church (4201 Albemarle St NW) - 3:45PM - 8:30PM
Thursday at St. Columba’s Church (4201 Albemarle St NW) - 4:00PM - 7:15PM
On occasion there will be additional CCW events including self produced performances, private bookings, retreats, auditions and tours.Preference will be given to candidates available to work both full weekly shifts, though applicants who can cover only one day per week are also strongly encouraged to apply.

JOB SUMMARY AND RESPONSIBILITIES:
The Program Assistant is the first point of contact for participating singers and their parents. They will be a key relationship builder, and connection between staff and singers. The Program Assistant will provide on-site support before, during, and after rehearsals, retreats, and self-produced concerts. This role will report to the Chief Program Officer, and has responsibility for reporting rehearsal updates to the Chief Program Officer, communicating about processes that need to be altered, and any feedback from parents and singers.
The successful candidates will be responsible for the following duties:
Implement and maintain the rehearsal procedure as laid out by the Chief Program Officer, including:
Arrive at rehearsal site 60 minutes in advance of the rehearsal start time
Monitor the rehearsal phone for last minute updates from families.
Set up rehearsal space, including chairs, technology and check in desk
Greet singers, take attendance, distribute materials, and answer questions from parents
Ensure the safety and comfort of singers during rehearsal time and the smooth execution of rehearsal
Check singers out of sessions and ensure safe return to families.
Tidy up rehearsal spaces and packing all resources back into storage
Act as an ambassador for CCW, providing an excellent level of customer service to parents as the frontline public facing staff member.
Act as the primary point of contact with venue staff, communicating any emerging needs, and referring to the Chief Program Officer as necessary.
Communicate a weekly report to the Chief Program Officer about the outcomes of the rehearsal, including student absences, behaviors, and adjustments required to rehearsal procedure.
Assist students and staff as needed during rehearsals and self-produced concerts, helping to ensure an organized and purposeful classroom environment.
Capture and catalog marketing content from rehearsals and performances for social media.
Collect materials from singers at the end of each semester.
Cultivate a warm and caring relationship with young people, that contributes to a culture of inclusivity.
QUALIFICATIONS:1-2 years of experience working with young people to create a safe and nurturing environment, ideally in an arts setting.
A welcoming and positive attitude with an understanding of what it means to provide excellent customer service.
Punctual and dependable, with the ability to remain calm under pressure.
Natural communication and interpersonal skills, both with children and adults
Self-motivated with the ability to work independently and as part of a team.
Ability to lift c. 25 lbs.
Passion for the arts and a commitment to CCW's mission.
COMPENSATION
